Zoom Host Controls
Learn about different options and features specific to hosting a meeting to ensure you have the appropriate set up for your meeting’s needs.
Set Up Meeting
The Zoom Desktop Client provides two different options for hosting meetings, clicking New meeting opens your personal Zoom room, and clicking Schedule allows you to set up a scheduled Zoom meeting with specific settings.
Your personal Zoom room is best for informal meetings with fewer participants that do not require specific settings.
Scheduling a Zoom meeting is best for hosting a larger or more formal meeting that might require specific settings. You will need to set this up ahead of the meeting.
You can also schedule meetings from the web browser by logging into Widener’s Zoom platform.
Scheduling Settings
When scheduling a Zoom meeting, you will have a number of settings available to choose from beyond setting up the date and time.
Some important options to consider include:
- Waiting Room – enabling the waiting room prevents participants from joining the meeting prior to the host
- Mute Participants Upon Entry – participants are muted by default, but are able to unmute if needed
- Alternative Hosts – setting an alternative host allows for another person to have host permissions and be able to start the meeting if you become unavailable

Host Controls
As the host of a Zoom meeting, you will have additional options and settings beyond what is available to participants in the control bar shown at the bottom of a Zoom meeting.
[1] Host Tools – click Host tools to review settings for what participants are able to do (use the chat, share their screen, rename themselves, etc.)
[2] AI Companion – click AI Companion to enable Zoom’s AI Companion or start the meeting summary tool – learn more about Zoom’s AI Companion
[3] Breakout Rooms – click Breakout Rooms to set up individual Zoom rooms within a meeting for smaller group discussion
[4] More – click the More icon to see additional icons that include Captions, Recording, Polls/Quizzes, Notes, and Whiteboard
[5] End – click End to end the meeting, you will be shown the option to either end the meeting for all participants, forcing them out of the meeting or assign another participant the role of host so the meeting can continue without you
You can personalize your control bar by clicking and dragging icons to rearrange their order if your prefer.
